Assistant Project Manager

Conduct Request for Information (RFI), Invite to Quote (ITQ), Invite to Tender (ITT) exercises, including preparation and definition of specifications, evaluations, contract negotiation and obtain approval to award.
Oversight of IT projects
Manage project scope and objectives, Influence, drive and manage stakeholders' expectations to achieve the desired project deliverables.
Manage all changes in project scope escalating to Project Steering Board timely when the changes impact on agreed delivery time and budget.
Perform solution analysis, procurement, product selection, fit-gap and obtain approval. Ensure technical solution supports the business requirements.
Ability to manage and execute projects based on industry best practice of Project Management Methodology
Define, structure, plan, manage and report on assigned IT projects.
Responsible for the quality management of projects on time, scope and on budget.
Coordinate with both internal and external resources in the execution of projects.
Responsible for liaison with Project Steering Board and Project Working Group on project reporting and delivery on a regular basis.
Manage all risks and issues associated with the project escalating when required to minimize project risks.
Responsible for ensuring project resources availability and allocation are focused on delivery.
Manage vendors to ensure contractual obligations are met within the agreed Service Level Agreement.
Ensure all projects are delivered in compliant with IT policies, internal and external audit requirements.
Any other related duties as directed by the said reporting officer.
Qualifications
Bachelor's Degree in Computer Science / Information Technology (IT) with Certification in IT Project Management (CITPM) or Project Management Professional (PMP).
Minimum 5 years of project management experience in IT, Digital Service and/or Healthcare domain or similar capacity.
ITIL and Project Management (e.g. PMP/CITPM) certification and experience would be advantage.
Working experience in Integrated Electronics Medical Records system, Automated Rostering and Scheduling systems, Microsoft Dynamics 365 and Web Technologies and Development, Infrastructure and Cyber Security would be an advantage.
Strong technical knowledge in IT infrastructure, business applications and security management framework.
Experience in managing cross-functional projects and a strong track record of successful projects delivery.
Experience in vendor management and project execution

Responsibilities:
- Supervise shift operations or act as a dedicated business support specialist to ensure the program meets delivery timelines, SLA tracking, and KPI expectations.
- Manage inventory control processes including cycle counts, stock reconciliations, inventory accuracy monitoring, discrepancy investigations, and customer inventory reporting.
- Coordinate day-to-day business support, acting as the WMS Super User to maintain data quality, resolve interface issues, and support system enhancements.
- Ensure inventory transactions are accurately recorded in the WMS and investigate inventory variances to identify root causes and implement corrective actions.
- Maintain and update Standard Operating Procedures (SOPs) and Work Instructions (WIs) with strict version control.
- Support start-ups, volume ramp-ups, and process change requests, including User Acceptance Testing (UAT) and hyper-care phases
- Take necessary disciplinary actions on staff and manage shift-level conflict resolution.
- Monitor inventory accuracy and integrity through regular cycle counts, stock audits, reconciliation activities, and inventory investigations.
- Perform complex WMS transactions, including inventory reversals, manual allocations, and cycle count adjustments with proper supporting documentation.
- Investigate inventory discrepancies, identify root causes, implement corrective and preventive actions, and communicate findings to customers and stakeholders.
- Ensure inventory records in the WMS accurately reflect physical stock and maintain compliance with inventory control procedures.
- Manage aged inventory, stock status control, damaged inventory handling, and inventory disposition processes as required by customer requirements.
- Own operational and inventory reporting reporting workflows, automating daily/weekly performance reports using advanced Excel functions.
Requirements:
- Diploma or Degree in Logistics, Supply Chain, Business, or Industrial Engineering.
- 3 to 5 years of relevant experience in contract logistics, inventory control, shift supervision, or operational business support.
- Exposure to Lean/Kaizen methodologies and basic continuous improvement tools.
- Strong knowledge of warehouse operations, inventory management principles, stock control processes, and inventory reconciliation practices.
- Advanced Microsoft Excel skills (Power Query, macros) and ability to navigate ERP/WMS platforms deeply.
- Strong documentation skills for SOP drafting and compliance evidence gathering.
- Demonstrated ability to supervise a team, deal with staff firmly but fairly, and maintain a high-performance shift culture.
