Role Overview
We are looking for a proactive, organized, and resourceful Office Manager to drive our workplace operations and executive support. In this multifaceted role, you will be the backbone of our workplace—managing critical administrative systems, leading office transformation and maintenance projects, and providing key executive support to our Managing Director. Key Responsibilities
Office Administration & Operations: Lead end-to-end office operations, employee relations, and administrative procurement. Maintain strict oversight over corporate assets, service contracts, and company insurance policies.
Project & Workspace Management: Spearhead workspace renovation and facility maintenance projects from concept to completion, including strategic planning, budgeting, vendor negotiations, and final execution.
Infrastructure & Vendor Coordination: Manage relationships with key external vendors, overseeing the coordination of core IT infrastructure and cloud-based business tools.
Compliance & Approvals: Critically review and authorize administrative documents, ensuring compliance within your delegated authority limits.
Executive Support: Act as a trusted partner to the Managing Director (MD), providing agile secretarial support, coordinating complex travel arrangements, and managing priority schedules.
Cross-Functional Coordination: Support marketing, media relations, and corporate events by serving as the central administrative anchor.
Operational Agility: Handle evolving business priorities and ad-hoc projects as assigned by management to keep operations running smoothly.
Qualifications
Education: Bachelor’s Degree in Business Administration, General Management, or a related field.
Experience: At least 5 years of proven experience in office administration, facilities management, or corporate operations.
Language & Tech Literacy: Proficient in English with excellent computer skills. Strong proficiency in Microsoft Office (especially advanced Excel) and experience leveraging AI tools for operational efficiency.
Systems Knowledge: Familiarity with ERP platforms and operational frameworks such as ISO Standards, or equivalent compliance systems.
Thrive Under Pressure: Exceptional multi-tasking and time-management skills, with a proven ability to meet deadlines in a fast-paced environment.
